We are seeking a dynamic and organized Office Administrator / Receptionist to join our team! Responsibilities:

Greet visitors, clients, and vendors with professionalism and enthusiasm, ensuring a positive first impression.

  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently.
  • Oversee schedule management for meetings, appointments, and events, ensuring calendars are up-to-date and conflicts are minimized.
  • Coordinate event planning activities, including logistics, catering, and venue arrangements for company functions.
  • Handle vendor management by processing invoices, maintaining supplier contacts, and ensuring timely deliveries.
  • Maintain organized filing systems—both digital and physical—and perform general clerical duties like data entry, copying, and document preparation.
  • Assist with office management tasks, including supply inventory control, equipment maintenance coordination, and budget tracking.
  • Provide support in office management if applicable, including appointment scheduling and recordkeeping.
  • Contribute to team training & development initiatives by preparing materials and facilitating communication across departments.

Experience

Proven experience in office administration or clerical roles within a professional environment.

  • Supervising experience is preferred to oversee junior staff or interns effectively.
  • Strong organizational skills with the ability to manage multiple schedules simultaneously while prioritizing tasks efficiently.
  • Excellent communication skills combined with professional phone etiquette for engaging with clients, vendors, and team members.

Work Location: In person
